Overview
Top-level affiliates in the Partner Portal can update the billing information on file for their sub-affiliates. This is most often needed when a sub-affiliate's commission payment fails to process because their bank details are outdated or incorrect. This article walks through how to locate a sub-affiliate account and edit their billing information, and what to expect once the update is made.
Applies to: US-based partners
What Is Sub-Affiliate Billing Information?
Billing information is the bank account and routing number NMI uses to send a sub-affiliate their commission payments. This information is stored on the sub-affiliate's account in the Partner Portal and is managed by their parent (top) affiliate.
Why It Matters for Partners
- Commission payments depend on it. If a sub-affiliate's billing information is out of date, their commission payment will be returned by their bank and cannot be completed until the details are corrected.
- Top affiliates are responsible for upkeep. Since sub-affiliates don't manage their own billing information directly in this workflow, the top affiliate is the one who updates it on their behalf.
- Timely updates mean timely payments. Once billing information is corrected and verified, the returned commission payment can be reprocessed.
Prerequisites / Access Requirements
Before making changes, confirm the following:
- You are logged in as the top-level affiliate in the Partner Portal.
- You have permission to view and edit Sub-Affiliate Accounts.
- You have the sub-affiliate's correct, updated bank account number and routing number on hand.
How It Works
Follow these steps to update a sub-affiliate's billing information:
- Go to List Accounts in the Partner Portal.
- Click the + sign next to Sub-Affiliate Accounts to expand the list, or use the search box to find the sub-affiliate by name.
- Click the sub-affiliate's name to open their account.
- Locate the Billing Information section.
- Click Edit.
- Enter the updated Account Number and Routing Number.
- Click Save.
Once saved, the updated billing information is stored on the sub-affiliate's account and used for their next commission payment.
Troubleshooting Guide
Sub-affiliate's commission payment was returned by their bank:
| Cause | Resolution |
|---|---|
| Bank account or routing number is outdated | Update the billing information using the steps above |
| Sub-affiliate closed or changed their bank account | Confirm the new account details with the sub-affiliate, then update their billing information |
| Bank flagged or restricted the transaction | Confirm with the sub-affiliate that their account can accept the deposit, then re-verify the details on file |
What happens next: A returned payment is not lost. It automatically rolls over and is included with next month's commission payment run, where it will be retried using the updated billing information.
⚠️ Note: If billing information is not corrected before the next scheduled payment run, the payment will be returned again and roll over another month.
Common Questions
Q: Can a sub-affiliate update their own billing information? A: No. In this workflow, billing information is managed by the parent affiliate through the Partner Portal.
Q: How quickly is a returned payment reprocessed once billing information is updated? A: The returned payment rolls into the next scheduled commission payment run and is retried at that time.
Q: Is this process the same for partners outside the US? A: No. This workflow applies to US partners paid by direct deposit (ACH).
