Overview
If a merchant decides to switch to a new Payment Processor, or their MID configuration has changed, these changes will need to be reflected on the gateway as well. We refer to as a "MID swap". NMI Partners will need to make the changes on the Gateway with the new processor configuration. Furthermore, when a merchants MID is being closed at the Processor level, NMI Partners should always disable the MID at the Gateway level to avoid rejected charges due to an inactive MID.
Prerequisites
Partners - your user will need the 'Manage merchant accounts' permission to be able to edit merchant details and onboard new processing services. Primary users have this permission set by default and cannot be removed.
Navigating to Merchant Details Page
In your Partner Portal, on the left side panel, click on List Accounts → search and click on the merchant name → scroll down to the Processing Services section. Here is where you can add a new processor, reroute refunds, disable and delete processors.
Changing Processors (MID Swap) & Rerouting Refunds
A MID swap is the process of boarding a new Processing Service and disabling the old Processing Service, in order to route transactions through the new MID, along with an option to reroute refunds on supported processors.
- Add the new Processing Service from the Merchant Details page - under Processing Services, on the right side click on Add* → Add Credit Card. Select the Processing Platform and enter all the relevant fields. For more detailed information on each section/field, please see Processing Service Information.
*this option is only available on Standard Gateway Accounts. - The next step is to Disable the old Processing Service, however prior to disabling or deleting a processor, it is important to double-check the following:
- Is the merchant using Transaction Routing, Advanced Transaction Routing Interface (ATRI) or Processor Routing via API?
- If YES, address any software changes or Transaction Routing/ATRI balancing changes that need to be addressed BEFORE disabling the old Processor.
- Do any of the merchants Recurring Subscriptions point at a particular processor?
- If YES, point the Recurring Subscription at a different processor, or change it to the blank option BEFORE disabling the old Processor.
- Does the merchant have sub-users who only have permission/access to a single MID?
- If YES, make sure the correct sub-user is linked to the new Processor BEFORE disabling their old Processor.
- Is the merchant using a UK/EU processor that requires Bank TID allocations?
- If YES, once you submit the new processor information, the status of the Processing Service will be set to Pending. Before disabling the old processor, you will need to wait until the processor confirms the request has been completed, which you will receive an email notification that the processor has been activated, and the status will be set to Active.
- Is the merchant using Transaction Routing, Advanced Transaction Routing Interface (ATRI) or Processor Routing via API?
- Once you have the new Processing Service onboarded, status as Active, and you double-checked step 2, you may proceed to disabling the old Processing Service.
- Once you disable the old processor you will have the option to reroute refunds to the new processor, as long as rerouting is supported on that processor and the new processor status is Active. There will be a dropdown to select the Refund Processor. Processors that do not support refund rerouting will be removed from that list.
- If there is no other active processing service on the account, you will not be given the option to reroute refunds and instead will need to choose 'Do Not Reroute'.
- If you don't choose a processor to reroute to, any refund against a transaction processed on the disabled processor will fail.
Disabling a Processor
Disabling a processor on the Gateway will allow any pending transactions to settle properly as long as the MID is still active on the processor side. If the MID was deactivated on the processor side before settlement, the merchant will need to contact their processor to reactivate it and reattempt settlement.
* Prior to disabling a processor, please double-check step 2 from above, "Changing Processors".
Once a processor is disabled on the Gateway, the Merchant will not be able to use this processor anymore, they will however, be able to see transactions in their Merchant Portal that were run on the old MID. The Status will be set to Disabled, followed by the date it was disabled on. To reactivate the processor, you will need to click on 'Activate'.
